As an event manager there could be lot of events that you need to organize at streets in the form of artisan mela, fun fair or concerts. You need to run all process legally and ask permission from government about it. Guideline to run special outdoor events is as follows:

Application for event

You need to submit the special application to conduct the event. Write all the details and specifications in your application. Include the details about the number of guests and fees that you will charge to guests to attend the event. Make sure that food vendors, sponsors and logistic providers all are licensed.

Street Map

When you organize an event in public area or in some street than, make a proper plan and map of the street. What is the entrance area and closing point of street? There should be no blockage of traffic to pass through it. Make some space for driveway, public movement and ambulance. Give appropriate signage board for people to reach the place easily. Ask the vendor staff to provide you with good sign boards and barriers. Keep the issue of public safety in your mind. Check from location map about any other event running at same place; in this case organize your event at some other day to avoid any kind of inconvenience.

Size of Tents and Shelters

Mostly 200 square feet tent is allowed to be placed in some street. For a big size of tent design it from some architecture. Make all emergency plan and exit areas. And if tent is more than 600 feet, than ask permission from government to execute it in public area.

Public Security

Being an event manager public security and protection is your first preference. Construct some emergency cell for the conduction of any problem and accident. Organize traffic lines and signals in such a way to make all possible passages of ambulance. Assign a person who act as a communicator between police department, fire brigade cell and ambulance drive.

Checklist for Emergency Plan

Few important requirements for the conduction of event in outdoor place are as follows

  • Tents should be fire resistant.
  • Fire cells should be places at every place.
  • Create some space between the sitting arrangements in case of emergency.
  • Cigarette and flammable liquids should not allow at events.
  • Use baskets for garbage.
  • Electrical wires should be place in secure manner so that no person can touch them.

If you are running some cattle show then animals will be involved in the event. Write some proper application to government for using animals in the show.
